Accessing Student Information for Educational Use
Departments at WSU Vancouver and authorized external organizations may request student record data for educational purposes through the Office of Student Affairs and Enrollment. Before submitting a formal inquiry, please verify if the required data is accessible through RONet or the Office of Institutional Research. WSU Vancouver facilitates these requests to support academic assessment and institutional planning while maintaining strict adherence to privacy standards.
Washington State University is permitted to release student directory information to administrative units, recognized student organizations, and researchers. This information includes names, addresses, enrollment status, and degree details. However, access to non-directory or confidential records is restricted to individuals with a legitimate educational interest. All data handling must comply with security protocols to ensure that student privacy is protected at every stage of the research or administrative process.
Guidelines for Data Release
Washington State University may release directory information to WSU administrative departments, outside entities conducting research, student groups, and other authorized parties.
Directory information includes:
- Name and former names
- Local and permanent addresses
- Telephone numbers and email addresses
- Major and minor fields of study
- Participation in recognized activities and sports
- Weight and height of athletic team members
- Dates of attendance and grade level
- Enrollment status such as undergraduate, graduate, full-time, or part-time
- Status as a graduate assistant and specific assignment
- Degrees, certificates, and awards received
- Most recent previous educational institution attended
Confidentiality and Restrictions
Non-directory or confidential student record information is only released based on legitimate educational interest within WSU. In limited cases, this data may be shared externally for approved research or educational assessments.
Accessing education records for personal interests is strictly prohibited.
Education records may be released to organizations conducting studies or academic research provided that:
- Procedures and findings do not violate student confidence.
- Student names are excluded from the study and not linked with the data.
- Case histories are disguised to prevent the identification of individuals.
- Written permission is obtained if individual identification occurs.
- Information is destroyed once it is no longer needed for the intended purpose.
