Space allocation guidelines

Institutional Space Management

Effective management of physical facilities at WSU Vancouver ensures that campus resources directly support our core missions of teaching, research, and service. All campus buildings and rooms are university-owned assets assigned based on strategic priority, functional need, and suitability. Because academic and institutional requirements evolve, space assignments are flexible and subject to regular review to ensure every square foot serves the highest and best use for the campus community.

Finance and Operations maintains final responsibility for facility utilization, with Capital Planning and Development conducting routine surveys and providing data-driven recommendations. This collaborative process involves consultation with the Vice Chancellor of Academic Affairs for instructional and faculty spaces, ensuring that student success and academic excellence remain at the forefront of every allocation decision.

General Principles

Space is a finite resource assigned to approved programs based on availability and functional proximity. Assignments are not permanent and remain subject to reevaluation to meet changing campus needs.

Priority for space allocation follows this hierarchy:

  • First priority: Full-time university activities in an academic or direct support capacity.
  • Second priority: Full-time university activities in an administrative or direct support capacity.
  • Third priority: Part-time university activities in an academic or direct support capacity.
  • Fourth priority: Part-time university activities in an administrative or support capacity.

Office Assignments

Individual and shared offices are assigned based on availability and functional requirements such as privacy or security.

  • Faculty: Precedence is given to tenure-track faculty, followed by other full-time faculty with ongoing appointments.
  • Graduate Students: Teaching assistants and graduate students with a 0.5 FTE assistantship or greater receive lab desks or shared offices as available.
  • Sabbatical and Emeritus: Faculty typically retain their offices during sabbatical. Emeritus faculty may qualify for temporary shared space after all other primary needs are satisfied.

Classrooms and Teaching Laboratories

Instructional spaces are scheduled based on demand, with credit-bearing academic activities taking precedence over all other uses.

  • Scheduling: The Office of the Campus Registrar manages initial scheduling, while the Scheduler handles requests after the start of the session.
  • Availability: Classrooms are reserved exclusively for academic instruction through the tenth day of the session.

Conference Rooms

Conference spaces primarily serve administrative and collaborative needs but may be assigned for classes if demand exceeds classroom availability.

  • Board Room: This specialized space is reserved for activities involving the Campus Executive Office and is scheduled through the Chancellor’s Office.

Research Laboratories

The Space Advisory Committee provides recommendations on lab utilization, emphasizing shared use and functional compatibility.

  • Funding Priority: Priority is given to full-time researchers with grant funding appropriate to the assigned space.
  • Safety: Units are responsible for the management of all hazardous materials in compliance with WSU Environmental Health and Safety policies.

Security and Access

Building access is managed through a coordinated effort between program units and Facilities Operations.

  • Access Requests: Personnel can obtain keys and access cards by submitting a Campus Key Request Form.
  • Responsibility: Units are responsible for the retrieval of access hardware and any costs associated with lost keys.

Parking and Transportation

Parking regulations are enforced on weekdays to ensure orderly access to the campus. For detailed permit information and maps, please refer to the WSU Vancouver Parking Regulations.
